This Privacy Policy describes how we collect, use, and safeguard your personal and health information, including how your data is handled through our use of TherapyAppointment, our secure, HIPAA-compliant practice management platform.

 

What is Protected Health Information (PHI)?

Protected Health Information (PHI) refers to any information concerning your identity and your care that relates to your past, present, or future physical or mental health, as well as the health care services associated with it. Your provider will only release PHI about you in accordance with federal and state laws and the highest ethical standards of the American Psychological Association.
 

This notice outlines the policies regarding the use and disclosure of your Protected Health Information (PHI) in compliance with applicable laws, including the Health Insurance Portability and Accountability Act (HIPAA) and its associated regulations, including the HIPAA Privacy and Security Rule.

Important: All sensitive client data (e.g. forms, session records, billing) is stored and managed via TherapyAppointment, not on our public website.
 

2. Use of TherapyAppointment

We use TherapyAppointment to manage:

  • Appointment scheduling

  • Secure messaging

  • Intake forms and documentation

  • Billing and insurance claims (if applicable)

  • Session notes and treatment planning
     

TherapyAppointment is fully HIPAA-compliant, uses secure encryption protocols, and hosts client data in secure U.S.-based servers. You may access your client portal to:

  • Update your information

  • Securely message your provider

  • Review upcoming appointments

  • Access forms or billing history
     

3. How We Use Your Information

We use the information we collect to:

  • Provide and coordinate mental health services

  • Communicate with you regarding your care or scheduling

  • Submit insurance claims (if applicable). If you use in-network insurance through Headway, limited information (session dates, CPT and diagnosis codes, and brief progress notes) will be securely shared with Headway, a HIPAA-compliant platform that manages insurance and payments. This does not change your HIPAA rights. You can review Headway’s privacy policy at headway.co/privacy.

  • Fulfill legal and ethical obligations

  • Improve client services and operations

  • Password-protected devices and accounts

  • HIPAA-compliant email and telehealth platforms (if applicable)

Despite our best efforts, no system is completely immune to risk. Please avoid sending sensitive information via unsecured email or public Wi-Fi networks.
 

8. Cookies & Website Analytics

Our website may use cookies or analytics tools (e.g., Google Analytics) to improve your experience. These tools collect anonymized data only and do not access your therapy-related or personal health information.
 

9. Telehealth Services

If you attend sessions via telehealth, we use HIPAA-compliant video platforms (via TherapyAppointment or another secure provider). You are responsible for ensuring privacy on your end (e.g., choosing a private space). 
 

10. Additional Protections for Substance Use Disorder (SUD) Treatment Records

Records related to any substance use disorder treatment are protected by federal law (42 CFR Part 2). We cannot disclose information that identifies you as receiving SUD services without your specific written consent, unless permitted by law.
 

Exceptions include: 

  • Medical emergencies

  • Reporting suspected child abuse or neglect

  • Court order that meets strict legal requirements

  • Communications within the program or with a qualified service organization under written agreement

 

11. Minors and Privacy

Our services are intended for individuals aged 18 and older, unless parental/guardian consent has been obtained for a minor. We comply with all applicable consent laws in Michigan and Texas.

In this notice, we use terms like “we,” “us,” “our,” or “provider” to refer to Weltitude Psychology, PLLC, its present or future therapists, employees, staff, and other personnel.

This notice describes how Weltitude Psychology, PLLC manages professional social media presence and what you can expect if you interact with any Weltitude Psychology, PLLC social media accounts. This Social Media Policy supplements our general Privacy Policy and Notice of Privacy Practices (NPP) and should be read together with those documents for a complete understanding of how your information is handled. Please let us know if you have any questions.

By using or interacting with our social media accounts, you agree to the terms of this policy.

I. Purpose of Social Media

Our social media pages (Instagram, Facebook, etc.) are used to share:

  • General mental health education

  • Resources and helpful tips

  • Updates about Weltitude Psychology, PLLC

The information that is shared online is for educational purposes only and is not a substitute for therapy or individualized care. Interaction with any of our professional social media accounts does not constitute a therapeutic relationship and does not replace professional clinical care.

 

II. Expectations for Social Media Use

There is no expectation for you to use social media or access, follow, or interact with professional social media accounts by Weltitude Psychology, PLLC. You can decide to engage with our professional social media accounts at your own discretion.

 

III. Privacy & Confidentiality

Social media is not a secure or confidential form of communication. Please avoid sharing private clinical information in comments, messages, or posts. We cannot guarantee confidentiality for anything posted publicly or sent through social media platforms. We will never share privileged information about you that could be used to identify you. If you choose to follow or comment on the Weltitude Psychology, PLLC professional social media account, please know that this may compromise your privacy, as others may see your engagement.

Weltitude Psychology, PLLC social media platforms are not HIPAA-compliant. Any information shared via social media cannot be guaranteed to remain private or confidential under HIPAA or state privacy laws. Please use our secure client portal for any communications containing protected health information (PHI).

 

IV. Client Endorsements & Ratings

As a client, you can decide whether to share or not share information about you being in therapy and how you feel about the process. However, we will never solicit your testimonial or feedback through social media. There may be public pages like Yelp that are automatically created without our knowledge or consent.  Any reviews, ratings, or comments you choose to leave on third-party sites are voluntary and not solicited by Weltitude Psychology, PLLC. Your decision to leave a review will have no impact on the therapeutic services you receive.

 

V. Dual Relationships & Professional Boundaries

This policy is guided by professional ethics codes, including the American Psychological Association (APA) Ethics Code and relevant state licensing board standards. For ethical reasons, no provider at Weltitude Psychology, PLLC will follow, engage with, or respond to current or former clients’ personal social media accounts. Any “likes,” “shares,” or “follows” of mental health–related accounts, posts, or resources from Weltitude Psychology, PLLC are not endorsements of any specific treatment, provider, or product.

 

VI. Direct Messaging & Communication

Weltitude Psychology, PLLC does not have a duty to monitor messages, comments, or tags on social media accounts. We may not see your message in a timely manner, and we cannot guarantee a response. Direct messages (DMs) on social media are not monitored regularly and are not an appropriate way to contact a provider at Weltitude Psychology, PLLC about appointments or mental health concerns. For questions about services, scheduling, or clinical matters, please use the secure client portal.

 

VII. Record-Keeping

Communications via social media are not part of the clinical record and will not be stored as such. If you wish to share information with your provider that becomes part of your official record, please use secure, agreed-upon communication method by messaging through the secure client portal.

VIII. Crisis or Emergency Situations

Providers at Weltitude Psychology, PLLC do not provide crisis services through social media. Messages sent to our social media accounts are not monitored for urgent issues. Weltitude Psychology, PLLC is not responsible for missed or delayed crisis messages received through social media platforms. If you are in crisis, please use one of these resources:

  • 988 – Suicide & Crisis Lifeline (U.S.)

  • Call 911 or go to your nearest emergency department.

Weltitude Psychology, PLLC does not provide emergency or on-call mental health services. If you require urgent or after-hours assistance, please use the crisis resources listed above or seek emergency medical care.

 

IX. Technology Limitations

Social media platforms may change their privacy settings, security policies, and data-sharing practices at any time without notice. Weltitude Psychology, PLLC is not responsible for the privacy practices of third-party platforms.
 

X. Policy Updates

This social media policy notice may be updated periodically to reflect changes in technology, ethical standards, or legal requirements. Clients will be notified if significant updates affect their rights or responsibilities.

XI. Summary

Social media is a great tool for education and sharing knowledge about psychology, therapy, and mental health. However, social media cannot replace the safety and confidentiality of therapy. Interaction with our social media accounts is not therapy, does not create a therapist-client relationship, and should not be relied upon as clinical advice. For clinical needs, questions, or scheduling, please contact us directly via the secure client portal.

I understand that this interaction does not constitute therapy or a therapeutic relationship. I understand that I have the right to discuss this information with my provider at Weltitude Psychology, PLLC and have any questions I may have answered.
